1. How we collect your information or data?
We collect information or data when you sign-up, or submit a proposal via the call for proposals website, or use any of our services or take part in our events. This data helps us to operate our business, market, advertise and improve our platforms, existing services, develop new services and to enhance, improve and customize your experiences while interacting with us or our services. We also save your data for invoicing, billing and tax purposes and of course, to communicate better with you.
1.1 - Register or Submit a Proposal
When you register or create an account with us, or submit a proposal via womex-apply.com - we collect your official or personal information such as your username, your company or artist logo, first and last name, links to your social media channels (if you are an artist, agent, label, venue, or company), geographic location, email address, contact number, a photo and any other information you have provided us while registering or creating your account. This information helps for processing your orders and billing and tax purposes. We also use this information to connect you with other potential businesses for new business development and networking purposes.
1.2 - Photos you upload to your profile
When you upload or add images or pictures, music and regular information about yourself, your company, artist, etcetera on your profile page.
1.3 - Photos or video when you attend our events
When you attend one of our events, we may collect your information via (i) photos at the event (ii) video (iii) video surveillance cameras at the events.
1.5 - When you take part in our event surveys or enter promotions, and contests, we collect name, contact, email, demographic and eligibility information.
You will always be the one in control of your personal information. You can contact us to modify, delete any, or all of your personal information. Please note this may affect your ability or visibility on the virtualWOMEX or Classical:NEXT to connect with other companies or sources.
1.6 - virtualWOMEX
virtualWOMEX is a service of WOMEX. It is developed, moderated and maintained by the media and IT departments of Piranha Arts AG. This is the main reason why companies who attend the yearly WOMEX get a free full access to virtualWOMEX for a year - which implies that the contact information they leave on virtualWOMEX is also published in the WOMEX Guide (see this for more details).
When you register with WOMEX as a delegate or a business we automatically include your details into the virtualWOMEX database. This database allows you to become a part of the global WOMEX community.
1.6.1 - Present yourself, your colleagues and your company to the professional WOMEX network - the standard for everybody in the world music business.
1.6.2 - Trade online. Publish your services, products, requests to the virtualWOMEX community - be visible and active.
1.6.3 - Do it yourself. Post news, upload songs, manage your data in real time via an easy-to-use interface. No technical knowledge necessary.
Apart from that, the link between WOMEX and virtualWOMEX has no consequence whatsoever for the users of virtualWOMEX. You don't have to register to WOMEX to take part in virtualWOMEX (and vice versa). But virtualWOMEX can be very useful for companies attending WOMEX to further network with the partners they meet at the trade fair. Similarly, companies registered only for virtualWOMEX can develop relationships with others before a possible meeting at the annual WOMEX.

1.7 - WOMEX App
The app does use third party services that may collect information used to identify you.
1.7.1 - Location: Your Location is only used to show your current location on the Mapbox map and only if you explicitly allow the app to do so.
1.7.2 - Log Data: Whenever you use our Service, in a case of an error in the app we collect data and information (through third party products) on your phone called Log Data. This Log Data may include information such as your device Internet Protocol (“IP”) address, device name, operating system version, the configuration of the app when utilizing our service, the time and date of your use of the service, and other statistics.
2. HOW WE USE YOUR INFORMATION
Piranha Arts have never sold or will never sell your personal data including your name and contact information – to external or third parties for their own marketing purposes.
2.1 - We utilize your Personal Information or Data to conduct analyses in order to provide you with customized and more relevant functionality, news, updates and solutions. Your information collected helps us with identification and authentication, maintenance of our services, improvement, new services development, customization of services (recommendation), contact, internal record keeping and research.
2.2 - Analytics and metrics. We analyze your activities and behavior on our website for profiling based on your interactions with our services, your orders, your purchases, your billing history, your profile information and preferences, and other content you share with Piranha Arts or any of its subsidiaries.
2.3 - We process this information given our legitimate interest in improving the Piranha Arts platform, services and our customers’ experience with it, and where it is necessary for the adequate performance of our services and events.
2.4 We use the information provided by you verify and respond to your requests, suggestions, questions, including providing you with any requested information about our products and services.
2.5 - When registering or creating an account with us, you have a choice to receive event announcements, updates, news, and other information about our services via email. If you give your consent to us, we use your personal information or data and other information shared by you to communicate on a personal level with you. If you have purchased an event ticket, we only use your information to notify you of event updates, news, on-site activites, general information and services we think may be of interest and value to you. You can ‘opt-out’ or unsubscribe or manage your communication preferences at any time via our mail service.
2.6 - We use your Personal Information or Data along with any other Information to assist us in showing you more focused advertising and marketing campaigns, and to provide you with information on the products and services that we think are most relevant to you.
2.7 - We may use Personal Data to detect and prevent fraud, spam, abuse, security incidents, and other harmful activity. To conduct security investigations and risk assessments, and to verify or authenticate information or identifications provided by you.
2.8 - We use the information provided by you in print in the WOMEX guide and in virtualWOMEX. Your sharing of information helps you to connect with other like-minded businesses or connect with other contacts. In case you wish not to be a part of our delegate database or have your details printed in our annual WOMEX special edition guide, please let us know via email and we will not include your contact or other details.
3. Where is your Personal Data stored?
All our servers are based within EU as required by GDPR and all our web services providers are GDPR compliant.
4. Your Data, Your Rights?!
Absolutely! By logic and by law, the data we have about you belongs to you.
4.1 - You can request whatever information we hold about you, and you can ask us to correct it if it is inaccurate or false.
4.2 - When you register or create an account we ask for your consent to process your personal data, you may withdraw that consent at any time. You can view, make corrections and remove any such information about you in the account settings page on this website. But, please note, we require some data for billing purposes and regarding helping you connect with our events. Some of these might affect your participation in our events.

5. Opt-in and opt-out from Newsletter
To receive our communication via newsletter, you must give consent or activate the newsletter upon registration or by subscribing to it. By subscribing to our newsletter, your e-mail address will be used for marketing purposes and to provide you with customized solutions, updates, offers, and deals. You will receive the newsletter until you unsubscribe from the newsletter. You can unsubscribe anytime from any of our newsletters via a link provided at the end of every newsletter.
We use MailChimp as our newsletter distribution service who are also GDPR compliant.
However, we must share that if you wish to stop receiving our communication and wish to revoke consent or unsubscribe, you may continue to receive our system emails which are important for the operation of the conferences, events, and services that we provide. These emails are important if you are a delegate or an active participant in our trade shows.
